In the last blog post I wrote about how important it is to manage your designs efficiently. If you are able to store smart information with your designs, then the quick retrieval that this enables can completely transform your business.
If you followed my last blog you will already know that the Order Job feature of Wilcom’s new EmbroideryStudio e4 software allows you to do just that; to store smart information with each design. But how can you retrieve that useful information quickly? Well, look no further than the new Advanced Integrated Design Library feature now standard in the new e4 release. Replacing the previous Design Explorer that existed as a linked but separate application the Advanced Design Library is now an integrated part of EmbroideryStudio.
Think of the Advanced Integrated Design Library as a combination of Windows File Manager and a Google search, but designed especially for embroidery content. This amazing design library has a powerful search engine that can quickly find and display the exact files you require; even if you have many thousands of files stored in multiple locations. It makes it so easy to search over multiple drives, folders and subfolders.

I have worked with lots of embroidery companies over many years, and seen the challenges facing businesses when they attempt to logically and efficiently categorize and store their embroidery designs. I have witnessed how they often struggle to fully utilize their design library in their business, because they simply don’t really know what they have and where to find it.
Previously the parameters used to search for an embroidery file would rely on knowing the file name and a location. Either using a design name that is very long and descriptive, or an alphanumeric name that is listed and referenced in another system. Many embroidery businesses use folder names for their customers, and often these folders contain many filenames that look similar and that over time become difficult to distinguish from one another.
Imagine a system that enable you to locate a file, or indeed a number of files, simply by searching on pretty much any criteria you choose. It will then display the results in a way that you decide is most meaningful to you. Well you don’t need to imagine any longer, that is exactly what the capabilities of the new Advanced Integrated Design Library in EmbroideryStudio e4 will do for you.

It’s now possible to search for any design, in mere seconds, by order number, file name, date saved, design status and even number of stitches, because the files are automatically indexed. Manual categorization is no longer a requirement, and importantly nor is it a barrier, to effective searches. After you have completed your search the designs matching the search parameters you entered will all be displayed on one screen for you to view but they could all reside in multiple folders and drives. EmbroideryStudio e4 magically brings all the information you need about your designs together in one place for you to review.
Searches can be made by ‘Group’ and sorted and displayed, for example, by customer and, if you choose, with the most recent at the top. A really useful search might be to create a Group by ‘Order Date Due’ and ‘Design Status’, which are both fields that can be associated with the design within the Design Properties under the Job Order tab.
There is also a choice of design layout, with a preview pane that will show the design properties and information without the need to open the design first. Display designs in TrueView® as thumbnails or as icons with information summaries. Design Properties can be displayed as a popup and also edited within the preview pane.

In terms of productivity one particular new tool in EmbroideryStudio e4 I love is the ‘batch’ operation feature. I can find and sort the designs I am interested in, and I can then perform an operation on those files, for example I can send to embroidery machine, print as a catalogue or convert to a particular file format; all of which is a massive time saver. In addition, it is now also possible to search for designs and export a list of files contained within that search result.
